Job Title: Service Advisor
Job Summary:
The Service Advisor is responsible for greeting customers, determining their vehicle service needs, and facilitating the repair and maintenance process. They act as the point of contact between the customer and the service department, ensuring that services are completed accurately, on time, and within budget. The Service Advisor must provide excellent customer service while maintaining a focus on profitability and efficiency.
Key Responsibilities:

  1. Customer Interaction:
    • Greet customers promptly and courteously.
    • Listen to customer concerns and requests regarding vehicle issues or maintenance needs.
    • Explain recommended services, repairs, and maintenance in clear, understandable terms.
    • Maintain positive, professional relationships with customers to ensure repeat business and customer satisfaction.
  2. Service Recommendations and Estimates:
    • Review the customer's vehicle history and provide necessary maintenance or repair recommendations.
    • Prepare accurate and timely service estimates, including parts and labor costs.
    • Present all recommended services and repairs clearly to the customer, answering any questions they may have.
  3. Work Order Management:
    • Create and manage work orders for each customer, ensuring all details are correct.
    • Communicate service requirements and expectations with technicians and service team members.
    • Track and update the progress of service orders, ensuring timely completion of repairs.
  4. Coordination and Communication:
    • Act as the primary point of contact between the customer and the service department, providing updates on the status of repairs and expected completion times.
    • Handle customer concerns or complaints in a professional and effective manner.
    • Coordinate with parts departments to ensure the timely availability of necessary parts.
  5. Customer Education:
    • Educate customers on proper vehicle maintenance and the importance of scheduled service to prolong vehicle life.
    • Upsell additional services or products when appropriate, ensuring that all services are properly explained.
  6. Quality Control and Final Inspection:
    • Inspect completed service orders for accuracy and quality before handing the vehicle back to the customer.
    • Ensure the customer is satisfied with the service provided and handle any final questions or concerns.
  7. Administrative Tasks:
    • Process customer payments and maintain records of service transactions.
    • Maintain a clean, organized service area and ensure compliance with safety and company policies.
    • Manage service appointment scheduling and maintain records for all service transactions.
Qualifications:
  • Education: College graduate of a 4 years course.
  • Experience: Prior experience in an automotive service advisor or customer service role is preferred. Knowledge of automotive systems and repair procedures is a plus.
  • Skills:

    • Organizational and time-management skills.
    • Ability to work under pressure and handle multiple tasks.
    • Basic knowledge of automotive systems and repair processes.
    • Proficiency in using automotive service management software.
Working Conditions:
  • Typically works in an automotive service center or dealership.
  • May involve standing for extended periods and moving between service bays and customer areas.
  • Must be able to lift up to 25 pounds and occasionally assist with vehicle-related tasks.

  • Ability to handle difficult customer situations with diplomacy and tact.
  • Strong sales ability to upsell services and products effectively.
